Who we are

Information we collect
Depending on how you contact us and whether you make a booking, we may collect your name, phone number, email address, event type, date and times, venue or location, approximate guest numbers, the services you are considering and any notes you choose to provide.
For confirmed bookings, we may also record setup and access information, a day-of contact, parking or loading details, power or venue requirements, collection details and payment records.
How we collect information
We usually receive information directly from you when you contact us by email, phone, social media or another enquiry route, and during the quote and booking process.
Why we use it
We use personal information to respond to enquiries, check availability, prepare quotes, take steps requested before a booking, manage confirmed bookings, provide the agreed services, communicate about event logistics, record payments, handle changes or complaints and keep required business records.
Our lawful bases
We generally use information because it is necessary to respond to your request before entering into a contract or to perform a booking contract. We may keep invoice and tax records to meet legal obligations. Where appropriate, we may rely on legitimate interests for proportionate business administration, security and the establishment or defence of legal claims.
Who we may share information with
We use service providers to run the business, including Google Workspace for email, documents and calendar administration, and Netlify for website hosting. If you contact us through a social platform, that platform also processes the information you send through it. We may share relevant booking details with a trusted event supplier where this is necessary to provide an agreed service.
We do not sell personal information.
International transfers
Some service providers may process information outside the UK. Contact us for more information about where relevant providers process information and any safeguards that apply.
How long we keep information
We generally keep unbooked enquiry records for up to 24 months after the last meaningful contact. We may keep material booking records for up to six years after the booking where needed for contract or dispute records. Event-only logistics, such as parking details and day-of contacts, are generally kept for up to 12 months unless needed longer. Invoice and tax records are kept for the period required by law.
Cookies and technical website data
We do not currently use analytics, advertising pixels or non-essential cookies. Our website host may process basic technical information, such as your IP address, browser, requested page and visit time, to deliver and protect the website. The site loads its display font from Google Fonts, which may receive similar technical information. External websites you visit from our links have their own privacy and cookie information.
If you use the reduced-motion control, the website stores that motion preference in your browser so it can remember your choice. This preference is not sent to us and is not used for tracking.
Marketing
We do not automatically add people who enquire or book to a marketing list.
Your rights
Depending on the circumstances, you may have the right to ask for a copy of your personal information, have inaccurate information corrected, ask us to delete or restrict its use, object to certain uses, or receive information you provided in a portable format. Contact us using the details above to make a request.
